2. The information we collect
We only collect what we need to quote for, book and carry out your clean:
- Contact details — your name, phone number and email address.
- Property details — the property address or postcode, size, condition, access or key arrangements, and preferred dates.
- Messages and photos — anything you send us through our website forms, email, phone, text or WhatsApp.
- Booking and payment records — the services booked, prices, invoices and payments (we do not store card details).
- Website usage data — basic, anonymised information about how visitors use our website (see Cookies below).
3. How we use your information
- To respond to your enquiry and send you a quote.
- To arrange, carry out and follow up on your clean, including our 48-hour re-clean guarantee.
- To send invoices, take payment and keep business and tax records.
- To ask for a review after your clean (you can ignore or opt out of these at any time).
- To understand how our website is used so we can improve it.
4. Our lawful basis
- Contract — when we use your details to quote for and deliver a service you’ve asked for.
- Legal obligation — when we keep financial records required by HMRC.
- Legitimate interests — when we follow up on a quote, ask for feedback or reviews, or look after the security and performance of our website. We only do this in ways you would reasonably expect.
- Consent — for non-essential website cookies. You can withdraw consent at any time.
5. Who we share it with
We never sell your data. We only share it with trusted providers who help us run the business, and only as much as they need:
- Our website host and website tools (Hostinger, WordPress and WPForms), which store form submissions.
- Our email, customer management and automation tools, which we use to reply to enquiries and manage bookings.
- WhatsApp and our phone provider, if you contact us that way.
- Google, for website analytics and our Google Business Profile.
- Our accountant, bank and HMRC, for financial and tax purposes.
- Letting agents, landlords or property managers, where they have booked the clean or need to arrange access.
Some of these providers may process data outside the UK. Where they do, they are required to protect it with appropriate safeguards, such as UK-approved contract clauses.
6. How long we keep it
- Enquiries that don’t lead to a booking: up to 12 months.
- Customer and booking records: for as long as you are a customer, then up to 2 years.
- Invoices and financial records: 6 years, as required by HMRC.
After that, we securely delete or anonymise your information.
7. Cookies
Our website uses essential cookies to work properly, and analytics cookies (Google Analytics, via Google Site Kit) to understand how visitors use the site. Analytics data is aggregated and does not identify you personally. You can block or delete cookies through your browser settings at any time.
8. Your rights
Under UK data protection law you have the right to:
- Ask for a copy of the personal data we hold about you.
- Ask us to correct anything that is wrong or incomplete.
- Ask us to delete your data, where we don’t need to keep it for legal reasons.
- Object to, or ask us to restrict, how we use your data.
- Ask us to transfer your data to another organisation.
- Withdraw consent at any time, where we rely on consent.
To use any of these rights, email james@nestrocleaning.com. We will respond within one month and there is normally no charge.
9. Keeping your data safe
We use password-protected, reputable services to store your information and limit access to what is needed to deliver your clean. Keys and access codes are kept securely and returned or destroyed after the job.
10. Complaints
If you have a concern about how we handle your data, please contact us first and we’ll do our best to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
